Deleting vs Withdrawing a Student
Understanding the difference between deleting and withdrawing a student in FinalForms is crucial for maintaining accurate records and compliance. This guide will help you navigate these options effectively, ensuring you choose the right action for your situation.
Deleting a Student (Permanent)
Deleting a student account is a permanent action that removes all associated records. This option should be used sparingly and only in specific circumstances.
Use Deleting When:
The account was created in error.
No records need to be retained.
How to Delete a Student:
Go to Manage > Students.
Click Edit on the student’s row.
Click Delete Student.
Remember, deletions are irreversible and may require assistance from FinalForms.
Withdrawing a Student (Recommended)
Withdrawing a student is the preferred method when a student leaves the school, but records need to be retained for future reference.
Use Withdrawing When:
A student leaves the school.
Records must be retained.
How to Withdraw a Student:
Go to Manage > Students.
Click Edit on the student’s row.
Set a District Exit date.
Save changes.
Note that withdrawing a student does not automatically remove them from rosters.
Why This Matters
Withdrawing a student instead of deleting them has several important benefits:
Preserves enrollment history
Maintains compliance records
Supports accurate reporting
