How Do I Know When Student Data Changes in FinalForms?

Edited

Welcome to the world of FinalForms! Our platform is designed to simplify how you manage student data, enabling you to easily track incoming information, monitor compliance, and stay updated without the hassle of manual comparisons. In this article, we’ll explore how data is collected, how to ensure compliance, and the best practices for managing student information effectively.

How Data Is Collected

FinalForms replaces traditional paper packets with a streamlined formset for collecting student data. This modern approach offers several benefits:

  • Year-to-year data reuse

  • Fewer lost forms

  • Accurate digital reporting

  • Easier data tracking

Ensuring Compliance

Compliance is visually represented in the platform through row colors and status icons. If the required Parent and Student icons are green, it indicates that the student is compliant, regardless of the number of forms present in the formset. You can easily identify non-compliant students by using the Status filters.

Subscribing to Alert Fields

Alert Fields are a fantastic feature that notifies you when parents update specific data. Here’s how to subscribe:

  1. Click your nameEdit Profile.

  2. Open your school role.

  3. Enable Daily summary of field updates.

  4. Select specific forms and fields to track.

  5. Save changes.

Once subscribed, you will receive nightly email summaries whenever changes occur.

Tracking New & Updated Students (Flags)

Each student row features a flag that indicates their status:

  • NEW – Never reviewed by you

  • UPDATED – Information changed since last review

  • SEEN – No new changes

How to Use Flags

To effectively manage flags, follow these steps:

  1. Go to Manage > Students.

  2. Filter by New Students or Updated Students.

  3. Review changes.

  4. Clear flags when complete.

Using UPDATED flags is particularly useful for keeping your student information system (SIS) up to date.

Best Practices

To make the most of your experience with FinalForms, consider these best practices:

  • Clear flags regularly.

  • Use flags before syncing with your SIS.

  • Treat UPDATED students as action items.
