What If a Student Is Enrolled in the Wrong School Year?

In this article, we'll walk you through the steps to adjust the District Entry Date on the applicant enrollment record without altering other important enrollment dates.

When This Happens

There are a few common scenarios that may lead to a student appearing in the wrong school year:

  • A student was added too early.

  • Registration timing overlaps school years.

  • Enrollment dates were entered incorrectly.

How to Fix the Enrollment Year

Follow these steps to correct the enrollment year:

  1. Go to Manage > Students.

  2. Switch to Enrollment Mode.

  3. Locate the student and click Edit.

  4. Scroll to Enrollment Records.

  5. Click Edit on the Applicant record.

  6. Only update the District Entry Date to match the correct school year start date.

  7. Leave the following fields unchanged:

    • District Exit Date

    • Enrollment Start Date

    • Enrollment End Date

  8. Click Save.

What Happens Next

After you make these changes, here's what you can expect:

  • The student is automatically designated as a Future Student.

  • When registration opens for the next school year, they will become an Applicant.

  • Parents will be able to complete forms at the correct time.

  • Note: If the forms were already completed, they will need to be re-signed by the parent in the correct year. All entered information will remain on the forms, but the signatures will clear.

Important Notes

To ensure historical accuracy and reporting integrity, please keep the following in mind:

  • Do not change enrollment start/end dates.

  • Do not set a District Exit Date.
