How Do I Add Inventory?

Welcome to the guide on managing your inventory in FinalForms! Here, you'll learn how to create new equipment, import existing data, and seamlessly manage your inventory. Whether you're adding new items or keeping track of what's already in your system, we've got you covered!

Adding New Equipment

To add new equipment to your inventory, follow these simple steps:

  1. Click on Manage > Sports.

  2. Select the sport, or click Inventory within the sport itself.

  3. Click Add and enter all available details for the equipment. Please note that the name and condition are required fields.

  4. Click to add the equipment to your inventory.

Managing Existing Equipment & Inventory

Issuing Equipment

To issue equipment to an athlete, follow these steps:

  1. Click on Manage > Sports.

  2. Select the sport or click on Inventory from within the sport itself.

  3. Click on the equipment's record.

  4. Assign the equipment to an athlete on the roster, set the Issued On date, and specify the Equipment Condition.

  5. Click to finish the process.

Collecting Issued Equipment

To collect equipment that has been issued, follow these steps:

  1. Click on Manage > Sports.

  2. Select the sport or click on Inventory from within the sport itself.

  3. Click on the equipment's record.

  4. Update the Collected On date alongside the Collected Condition.

  5. Click to finish the process.

You can also mass collect equipment at the end of the season using the designated button.

Removing Old/Retired Equipment

To remove old or retired equipment from your inventory, follow these steps:

  1. Click on Manage > Sports.

  2. Select the sport or click on Inventory from within the sport itself.

  3. Click the Equipment Name link or button to access the item's Edit page.

  4. Check the Retire this piece of equipment? box and click to remove the retired item from your Inventory list.

Retiring equipment will make it unavailable for issuance while maintaining its history in your records. In contrast, using the Delete button will remove the item and its record entirely from FinalForms. Therefore, under most circumstances, retiring equipment is the preferred option. Only delete equipment that was added to your inventory by mistake.

Importing Equipment To Your Sport Inventory

Importing equipment requires careful planning and a solid understanding of your data within FinalForms. Without proper review, imports may overwrite critical data or result in missing information. Please follow the guidance below, and don't hesitate to Contact Support if you need assistance.

  1. Click on Manage > Sports.

  2. Select the sport or click on Inventory from within the sport itself.

  3. Click on Sport Equipment.

  4. Under Instructions, click to obtain the templated .CSV file. Open the file using your preferred spreadsheet application.

  5. Enter your data into the spreadsheet, ensuring all required fields are completed.

  6. Delete the example row from the top of the spreadsheet.

  7. Save/export the file as a.CSV file, then return to the corresponding page.

  8. Click and upload your .CSV file from its saved location.

  9. Once the .CSV file has been uploaded, the import will begin processing for your final review.

The Preview Data From... section will confirm all entries:

  • For matching fields

  • For fields that do not match FinalForms data points, and will be ignored during the import

Make any necessary corrections, re-save the .CSV, and restart the import process. If everything shows as correct, click at the bottom of the page.

Important: DO NOT CLOSE THE PAGE UNTIL THE IMPORT HAS COMPLETED.

When finished, you can click to make corrections and try again from that specific error file, or click to restart the process with a new, separate .CSV file.
