Eligibility Mode

Welcome to our guide on Eligibility Mode in FinalForms! This feature is designed to help you manage your roster efficiently, providing you with essential information at a glance. In this article, we will explore the various components of Eligibility Mode, including status icons, email options, and export functionalities.

By default, when you access your roster, you will land in the Eligibility Mode view. This mode serves as your central hub for monitoring key details, including status icons, emergency medical information (E-Card) shortcuts, reminders, and more.

Status icons are a quick way to assess student eligibility. Here’s what each color represents:

• RED: No - Indicates that there are issues that need to be addressed.

• YELLOW: Caution - Some items may be incomplete or require attention.

• GREEN: Yes - Everything is in order!

These icons help you keep track of:

• Eligibility

• Fees

• Parent Forms

• Student Forms

• Days until Physical Expiration

Communicating with students and parents is made easy with our email options. You can use the drop-down menus or select multiple students to create a list of email recipients. Simply click on one of the following options to send out your messages:

• SEND ROSTER

• EMAIL STUDENTS

• EMAIL PARENTS

• EMAIL FAMILIES (both students and parents)

If you need to share or analyze student information, our export options have you covered. You can click to export:

• E-CARDS

• BASIC CSV

• ROSTERS

• Other variations of student information, depending on your state

E-Cards include a student’s name, grade, address, parent/guardian names and contact information, emergency contact names and contact information, existing medical conditions, injuries, allergies, medications, emergency medical plans (if applicable), and more. E-Cards are available on mobile devices and can be printed using the E-CARDS option.

• View One E-Card - View one e-card by clicking a student’s button.

• Print Multiple E-Cards - You may view/print numerous e-cards by clicking E-CARDS.

Click the button in any student row to view the status of individual forms.

Click the icon in any student row to view files that a parent, administrator, nurse, or athletic trainer may have uploaded.

Clicking the bell icon sends an email prompting the student and/or parents/guardians to take action on expiring/expired physicals, incomplete forms, or missing payments. You can also use the bell icon to send an email to the student, parents, or families (both student and parents).
